Summary:
The Accounts Payable (Data) Specialist reports to the Supervisor Accounts Payable Systems. Under general supervision processes data identifies system issues and assists in the maintenance of the Accounts Payable system.

Responsibilities:
Ensures receipt and recording of all EDI (electronic data invoice) invoices into the Accounts Payable system. Analyzes EDI invoices sent by vendors for accuracy and identifies errors. Researches and resolves all errors prior to processing. Assists Supervisor with reconciliation of complex invoice discrepancies.

Processes and maintains recurring payments and maintains backup files with contract information. Maintains database of outstanding credits due from vendors.

Maintains the vendor master file for use by the Accounts Payable and Purchasing Departments in creating purchase orders invoice processing and 1099 processing.

Ensures that the integrity of the Accounts Payable System is maintained by identifying issues especially specific problems within the three-way match causing match exception invoices and addressing them with the Supervisor.

Serves as liaison between/among vendors Purchasing Receiving and other Brown University Health departments to assist in resolving match exceptions.

Performs other related duties as assigned.

BASIC KNOWLEDGE:

Equivalent to a high school diploma or equivalent combination of education training and experience.

EXPERIENCE:

A minimum of three years experience directly related to the specified duties and responsibilities.

Knowledge of standard accounts payable procedures and regulations.

Working knowledge of PeopleSoft Accounts Payable system preferred.

Proficient with various PC applications including Microsoft Word Excel and Access.

Ability to create basic queries and manage data.

Ability to organize and prioritize tasks.

Attention to detail.

Ability to effectively communicate both orally and in writing.

Work is performed in typical office environment.
