Position Summary Information


Primary Purpose
Under the general supervision of the Director of Continuing Dental Education, provides administrative support and coordination activities for continuing education programs and operation.

Essential Functions

  • Manage, prepare, coordinate and schedule course arrangements for continuing education programs.
  • Manage program operations on the day of event (preparing event space, registering course attendees, overseeing and providing on-site support for program logistics).
  • Assist the director with the development of new programs to meet the needs of the attendees and the objective of the dental school.
  • Assess various programs and analyze course evaluations from attendees to make recommendations for improving programs.
  • Responsible for fostering relationships with course registrants, alums, sponsors and program presenters.
  • Assist with seeking external sponsorship for various programs.
  • Perform administrative support duties to include scheduling meetings, receive and screen calls; make travel and meeting arrangements; manage CDE team calendar.
  • Coordinate continuing education courses to include event page creation in Learning Stream, Canvas (Learning Management System) and SoftChalk; upload handouts to Dropbox; preparation of course materials; reserve lecture and workshops rooms quarterly and coordinate classroom set up.
  • Perform regular review on registrant's data in Learning Stream and perform data maintenance as needed.
  • Manage inventory of course supplies; order course supplies for hands-on workshop through various vendors, the main clinic and dispensary.
  • Facilitate the set up and cleanup of hands-on workshops; shipping loaner equipment back to vendors.
  • Maintain necessary Dental Board of California and ADA CERP information; gather data to produce comprehensive reports.
  • Participate and support long-term goals and strategies to meet changing needs of the department and dental school.
  • Perform all other duties as assigned by Director of Continuing Dental Education.

Minimum Qualifications
Knowledge of:

  • Intermediate level of Microsoft Suite (Word, Excel, PowerPoint and Outlook).


Experience:
  • Minimum of 3 years administrative support experience.
Education:
  • High school diploma or equivalent.
Working Conditions:

  • Position is five (5) days per week, seven and one half (7.5) hours per day.
  • Additional time/weekend will be required.
  • Occasional traveling required

  • Operate a variety of office/business machines to include computer, copier and scanner.


Knowledge of:

  • Current educational technology resources and online database (i.e. Canvas, Learning Stream).
  • Dental/medical terminology.

Experience:

  • Previous experience in an academic setting highly desirable.
  • Previous experience in event/meeting planning highly desirable.

Other:

  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Hiring Range 33.26 per hour
