Warranty Coordinator

We are seeking a detail-oriented and proactive Warranty Coordinator to join our team. You will be responsible for managing and coordinating all warranty-related activities for mechanical systems, including HVAC, plumbing, and piping installations. The ideal candidate will possess strong administrative skills, technical understanding of mechanical systems, and a customer-service mindset to ensure timely and accurate resolution of warranty claims.

Key Responsibilities:
  • Coordinate and process warranty claims for HVAC, plumbing, and mechanical systems installed in commercial and industrial projects.
  • Maintain and update warranty logs, including tracking of warranty periods, start-up dates, and claim statuses.
  • Serve as the primary point of contact for clients, subcontractors, vendors, and field personnel regarding warranty issues.
  • Review and interpret equipment submittals, O&M manuals, and manufacturer warranties to determine claim validity.
  • Schedule and dispatch service technicians or subcontractors to address warranty-related issues.
  • Document all communications, repairs, and resolutions in internal systems.
  • Ensure all required documentation (pictures, reports, claim forms) is collected and submitted accurately.
  • Follow up with manufacturers and suppliers to resolve warranty disputes or obtain replacements.
  • Support project closeout process by compiling and distributing warranty packages to clients.
Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in construction management, mechanical engineering, or a related field preferred.
  • 2-4 years of experience in warranty coordination, service dispatch, construction administration, or related roles within the mechanical or general contracting industry.
  • Working knowledge of commercial HVAC, plumbing, and mechanical systems.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with project management software such as Procore, CMiC, or Viewpoint is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
