The Executive Administrative position is responsible for organizing, coordinating, and performing a variety of duties in support of the Office of the Associate Vice Chancellor for Information Technology Services. The Executive Administrative Assistant keeps all operations running smoothly within a fast-paced environment where priorities and timelines can change quickly, and coordinates meetings, projects, travel, activities, inquiries, and replies for the Information Technology Services office.
Responsible for overall office administration and management of the Office for the Associate Vice Chancellor while ensuring discretion in decisions and judgments. This includes providing assistance to the members of the management team and ITS staff as needed. Also includes receiving and screening telephone calls and visitors; maintaining a complex calendar for meetings and appointments; managing all travel arrangements for the Associate Vice Chancellor; reviewing correspondence and preparing draft replies and referrals. May be assigned special projects involving research or analysis in support of ITS office efforts.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications
Comprehensive Knowledge:

  • Procurement system under state guidelines and regulations.
  • Applying a high degree of judgment, discretion, and initiative in coordinating activities associated with the Associate Vice Chancellor's office, such as meetings, projects, and replies to inquiries.
  • eVA Purchasing System.
  • State Regulations that pertain to travel and reimbursements.


Working Knowledge:

  • Conversant in the general terminology of finance and accounting and knowledgeable of budget and accounting concepts, practices, and processes.
  • Basic technology terms and concepts.
  • Higher education and specifically community colleges.

Considerable Skill:

  • In all the items listed under comprehensive and considerable knowledge
  • Maintaining confidentiality.
  • Taking notes/minutes using appropriate dictating or transcribing methods and convert to electronic format.
  • Gathering information, conducting research, and preparing reports, letters, and general office guidelines.
  • Windows and related Microsoft Office applications (particularly Word, PowerPoint and Excel), scheduling software, e-mail and internet browsers.

Working Skill:
  • In all the items listed under considerable and working knowledge.

  • To accurately and dependably prepare invoices, maintain accounting records, and make independent judgments on matters involving the Associate Vice Chancellor's office.

Experience:

  • Considerable experience in working for a senior-level administrator.
  • Ability to use discretion and judgment related to issues involving the office of the Associate Vice Chancellor.
  • Strong commitment to customer service, with a proactive and positive attitude toward assisting others.
  • Experience working with a diverse and multicultural population and performing community services; demonstrated technical literacy.
  • Superb customer services able to be documented by a minimum of five diverse sources from internal and external stakeholders.
  • Experience in projecting possible unforeseen problems and using appropriate judgment.

Additional Considerations
Must be highly and demonstrably competent in using Windows and related Microsoft Office applications (particularly Word, PowerPoint, and Excel), scheduling software, e-mail, and internet browsers. Experience in working with an automated financial record- keeping or accounting system and in complex technical situations. Must have a professional manner and maintain confidentiality. Applicants may substitute other evidence of meeting the above qualifications for up to two years of the required experience.
