Overview

As a Benefits Admin, this position supports the Human Resources Department by managing various employee Benefits and HR administrative compliance functions. The role involves efficiently participating in, coordinating, and facilitating HR processes and projects with accuracy and timeliness.

The successful candidate will report directly to the VP of Payroll & Benefits. The position location is in Tampa, FL office.



Responsibilities

    Coordinate the open enrollment periods, including scheduling, communication, and vendor set up in system with plan changes
  • Assist with developing and distributing materials that communicate benefit options, changes, and important dates to employees, ensuring they are well-informed about their benefits
  • Provide continuous support to employees with their benefits-related questions and issues, assisting with claims and resolving any coverage problems.
  • Manage the Wellness Program communications and Champions group
  • Vendor Management: Coordinate with benefits providers and vendors to ensure smooth operations and resolve any issues related to benefits.
  • Administers Workers' Compensation process (reporting incidents/accidents, post-accident drug testing)
  • Manage benefits monthly eligibility files for Wellness, Telehealth, Voluntary plans
  • Monitors the Safety requirement for the entire organization to make sure compliant for (TB & Hep B Tracking)
  • Conduct the annual OSHA 300 Reporting for the entire organization
  • Responsible for maintaining all active and separated employee records for the entire organization at the Tampa location
  • Coordinates the OIG/EPLS monthly verification and the annual licenses verification
  • Maintains CCS Live and Viva Engage as it relates to uploading updated HR forms/links for Human Resources, Benefits/Payroll tab, Safety & Worker Compensation.
  • Supports/coordinates employee initiatives, recognition activities and reports (such as the anniversary report, monthly service awards, and company organizational chart)
  • Tracks and reviews of all monthly department HR and Benefits invoices for approval.
  • Manage the company equipment returns policy in partnership with the IT department.
  • Always maintains a high degree of confidentiality due to access to sensitive information.
  • Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department.
  • Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements.
  • Abides by all regulations, policies, procedures and standards.


Qualifications

  • High school diploma or (GED) equivalent with two or more years of experience in benefits administration and HR Administrative or Benefits/HR administrative assistant experience or equivalent combination of education and experience.
  • Proficient with various Microsoft Office software such as Outlook, Word, Excel, Vizio and PowerPoint
  • Demonstrated ability to read and interpret documents such as governmental regulations and procedure manuals.
  • Strong communication and organizational skills are essential.
  • Ability to make decisions in accordance with laws, regulations, and established policies.
  • Ability to deal tactfully and courteously with employees at all levels.
  • Strong attention to detail
