Role Summary

We are seeking a highly organized and proactive Leadership Administrative Partner to support the Office of the CEO (OCEO) under the guidance of the Lead Executive Assistant to the CEO. This role plays a key part in facilitating executive operations, managing travel logistics, coordinating office visits and events, and ensuring seamless day-to-day execution of OCEO priorities.

The ideal candidate will be a self-starter, resourceful and responsive person, have strong communication skills, sound judgment, and the ability to maintain confidentiality while working closely with senior leaders. This position may occasionally require work outside of regular business hours and minimal travel.


Responsibilities

  • CEO Travel Coordination
    • Manage complex domestic and international travel, including commercial and private flights, visa processing, ground transportation, and detailed itinerary creation
    • Ensure travel solutions are discreet, efficient, and cost-effective
    • Ensure CEO travel documents and visas are always up to date
  • Executive Support & Office Operations
    • Provide logistical support for OCEO events, Board meetings, and external visits to Rivian office locations
    • Serve as the onsite point of contact for visitors and partners
    • Coordinate meals during travel and in-office events (including dietary preferences - vegan diet)
  • Event & Meeting Planning
    • Help organize and execute leadership offsites, retreats, team-building activities, and ad hoc working sessions
  • Administrative Operations
    • Maintain files, correspondence, contact lists, email distributions, and records
    • Assist with NDAs and compliance-related documentation
    • Manage procurement tracking and expense reporting
    • Provide calendar execution support when the Lead EA is unavailable or as needed
  • Cross-functional Collaboration
    • Work closely with internal teams, including security, Executive Protection, Culinary and ground support

Qualifications

  • Bachelor's degree or equivalent experience required
  • 5+ years of administrative experience supporting senior leadership OR 3+ years of C-Suite support
  • Ability to work 5 days per week in office in Irvine
  • Proven experience coordinating complex executive travel, including private aviation
  • Proficient in Google Workspace and quick to learn new tools and systems
  • Exceptional organizational skills and attention to detail
  • Demonstrated discretion and ability to handle confidential information
  • Strong interpersonal skills and business acumen
  • Flexibility to adapt in a fast-paced, ever-changing environment
  • Self-starter with a proactive mindset and problem-solving skills
  • Ability to multitask, prioritize effectively, and stay calm under pressure
  • Familiarity with vegan cuisine is a plus

Pay Disclosure

Salary Range for California Based Applicants: $77,800.00 - $97,300.00 (actual compensation will be determined based on experience, location, and other factors permitted by law).
Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment.
