Job Summary
The Senior Administrative Assistant is responsible for providing administrative support to the key university leaders and will supervise several administrative assistants.

Responsibilities

Primary responsibilities:

Administrative Duties - 50%
  • Provides high-level administrative and clerical support to Assistant/Associate Vice Presidents, Associate Provosts, and Deans, ensuring seamless daily operations.
  • Implements and upholds company record retention guidelines, ensuring accurate and compliant document management.
  • Processes and obtains necessary approvals for expense reports, maintaining financial accuracy and accountability.
  • Reviews, approves, and monitors various invoices to support efficient financial operations.
  • Oversees and tracks departmental financial obligations, including expenses for Assistant/Associate Vice Presidents, Associate Provosts, and Deans.
  • Manages credit card transactions and facilitates bank deposits as needed.
  • Accurately records and processes accounts receivable cash receipts within the financial system.
  • Acts as a backup for other Senior Administrative Assistants.


Supervision - 25%
  • Manages and supervises Administrative Assistants.


Department Specific Duties - 25%
  • Executes various duties assigned by specific Assistant/Associate Vice President, Provost or Deans areas of work.

Experience

1+ years of related experience.
Education

High School Diploma or Equivalent.

Additional Information

Travel: This position requires no travel.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones.

Expected Hours of Work:

Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. Occasional evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
