Summary of Position: The Marketing Administrative Assistant provides advanced administrative and office support activities for Marketing, Communications, & Legislative Advocacy to facilitate the efficient operation of the department. This position serves as the initial contact for the department, welcoming and assisting visitors in person while providing clerical support.

This is a 30 hour/week position and would be hybrid eligible working 1 day from home after the training period.


Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.

2. Perform office functions that may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.

3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.

5. Administrative Support - Supporting Action/Task May Include:

  • Greet walk-in visitors and respond to general Marketing, Communications, and Legislative inquiries.
  • Order and maintain inventory of office supplies.
  • Coordinate delivery/pick up of name badges and business cards.
  • Set up and monitor online events or meetings.
  • Assist with graduation and other in-person events.
  • Proofread policies and various marketing and communications materials.
  • Create staff and student e-newsletters and electronic student event postings.
  • Maintain promotional item inventory and ordering/delivering items for other areas.
  • Create and maintain branded Canva templates and PowerPoint presentations.
  • Assist with coordination of Marketing photo/video shoots, working with staff or vendors as needed.

6. Basic Reporting & Bookkeeping - Supporting Action/Task May Include:

  • Process invoices, collect bids, and follow Purchase Order processes using Chrome River.
  • Monitor monthly and annual budget reports.
  • Generate Google Analytics and other data reports for analysis and trend identification
  • Provide support for purchasing card and travel reconciliations.

Qualifications

Minimum Qualifications:

  • Associate degree in related field OR
  • Education combined with appropriate occupational experience in related field totaling 2 yrs OR
  • Occupational experience in related field totaling 2 yrs
  • Proficiency with MS Excel, Word, Outlook, and PowerPoint

Preferred Qualifications:

  • 2 years' experience in related area

Special Instructions/About Western

This position reports to: Director - Marketing, Communications and Legislative Advocacy

Starting annual/hourly salary range based on education and experience: $20.31 - $25.54
