Job Summary

This position's primary responsibility is to provide building and administrative assistance to the Corporate Headquarters at a professional level. Other responsibilities include acting as the building's concierge desk including providing excellent customer care, enhancing building security, accepting deliveries, and welcoming and checking in visitors.

Along with the key functions listed below, this position will be expected to uphold the value that WaFd Bank places on simply being kind when working alongside colleagues and servicing our clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software. Answer telephone calls and direct callers to appropriate parties or take messages.
  • Conduct research, compile data, and prepare reports and paperwork for consideration and presentation.
  • Read and analyze incoming memos and reports for distribution.
  • Assist with facilities management for 425 Pike Street headquarters and other offices and branches in the Northern Washington Region.
  • Provide support to the front desk, serve as a concierge, and a 425 Pike Emergency Evacuation Resource and Safety Committee Representative.
  • Perform general office duties, such as receiving visitors, ordering supplies, and approving branch office supply orders. File, maintain and retrieve corporate documents, records, policies, and reports. Responsible for related budgets, schedules and minutes.
  • Assist with event ticketing.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Schedule and coordinate conference calls, meetings, and travel.
  • Coordinate various Company activities.
  • Aid other administrative departments as appropriate.
  • Manage telephone traffic.
  • Collaborate with property management in managing the card-key access system by gathering required approvals, submitting approved card-key request forms to the property manager and monitoring access reports. Act as a back-up administrator to the property manager for the card-key access system.
  • Collaborate with property management in optimizing building security by screening visitors, actively monitoring video surveillance cameras and reporting security issues to civil authorities, the Bank's security officer and/or the property manager.
  • Manage the mailroom by receiving, sorting and administering incoming mail, overnight or ground deliveries as well as preparing outgoing mail.
  • Work with senior management, regional presidents, and division managers to provide top-level service to fulfill their business requirements.
  • Maintain positive contact with senior management, regional presidents, and division managers to guarantee.
  • Adhere to bank policies and procedures designed to comply with Federal regulations, including but not limited to the Bank Secrecy Act, USA Patriot Act and OFAC regulations.
  • Other duties as assigned.


Qualifications

Education/Skills/Training:

  • College degree preferred or 1-2 years prior experience in a similar role.

Experience:

  • Candidates must possess excellent organizational and verbal/written communication skills.
  • Must be able to work independently; make sound decisions, and demonstrate a high level of flexibility, diplomacy, and neatness.
  • Demonstrated leadership, self-motivated, proactive, hands-on style with excellent teambuilding skills.
  • Values punctuality and be able to work overtime when required.
  • Must be well versed in composing all types of business correspondence.
  • Computer proficiency with basic applications (e.g., Word and Excel).
  • Must have a valid Washington state driver's license and be insurable under the Company policy.
  • Administrative experience at the executive level is desired. Experience providing support to multiple managers also preferred.

Physical Conditions:

  • Some lifting and moving of equipment and supplies, etc. up to 40 pounds.
