Required QUALIFICATIONS


Required Education:
High School graduation or equivalent.
Required Experience:
Two (2) years of general office experience performing the full range of office support duties is required. One (1) of those years must be with extensive public contact and experience with non-native speakers of English.
Licensure or Certification Requirements
A valid Oregon driver's license is required.

Preferred QUALIFICATIONS


Preferred Education
Bachelor's Degree with coursework in office administration and/or Microsoft applications and intercultural communication, or related field.
Preferred Experience

  • Extensive experience with Microsoft suite, Excel and Word as well as Google Workspace.
  • Experience with graphic design and web design
  • Experience supporting offices that work in diverse populations.
  • Experience working with international students.

Position Purpose:
The International Programs Recruitment and Admissions Administrative Support Specialist supports the recruitment and admissions staff, the Director of International Programs and international students. The individual in this position exhibits professionalism and collegiality in a team environment, and the ability to create a welcoming, inclusive, accessible, and professional atmosphere at the front desk and through their assigned activities. This person must exhibit cultural humility and agility, with the ability and commitment to work with individuals from diverse backgrounds.
Essential Functions:
Essential Functions

  • Create social media posts that are focused on announcing current campus events and campus happenings as well as scholarship opportunities, campus resources that are available, etc., and also, explore expanding into other social channels.
  • Create posts that focus on prospective students to highlight in fun ways our main selling points. The Viewbook is a great resource to know the list of topics and these can be demonstrated with photos, testimonials, quotes, etc.
  • Partner with recruiters to invite students to prepare testimonials in written/photo formats as well as video.
  • Provide support to the Director of International programs.
  • Provide coverage of the office front desk in partnership with other part time staff.
  • Invite staff to also create short video posts about their role at Lane and welcoming students.
  • Keep inventory of Lane branded give-away items and compile packages as needed.
  • Capture impromptu photos as they happen to use in social media posts - such as alumni visits, various activities around the office, visitors, etc.
  • Provide general clerical assistance; using office equipment, current technologies and/or file management systems.
  • Input, process, and in coordination with supervisor analyze data using tools such as Banner, TargetX, Google Workspace and Excel while ensuring accuracy of work.
  • Complete tasks with efficiency while paying attention to many details.
  • Provide admissions and administrative support utilizing office specific software such as TargetX, Banner and ability to adapt to software changes.
  • Prepare and ship documents and packages globally.
  • Promptly answer phones, provide referrals as necessary.
  • Support program application processes and varied student inquiries using clear, concise verbal communication and draft appropriately written responses ensuring that information is promptly sent out.
  • Reach out to students who are applying to study at Lane and offer assistance and prompt them to take next steps on their application.
  • Assist with services to international agencies including processing applications, contracts and payments in coordination with Recruitment Manager and other offices on campus.
  • Assist with updating CRM and other databases as needed.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Supervision Statement:
Reports to and works under the supervision of the International Programs Director. Work is performed independently based on previous knowledge and professional judgment, according to local, state and federal regulations, applicable laws, College policies and program guidelines.
Physical Demands/Working Environment:
Work Safely
This position works indoors in a normal office working environment and is exposed to usual office working conditions that include office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. This position may work with individuals who may be in crisis, have difficulty tracking, or need mental health support. Work requires transporting materials up to twenty-five (25) pounds to multiple locations. Evenings and some weekends and high peak dates for the area of work, such as Spring break, Winter break and critical summer dates. Work safely.
Knowledge Skills and Abilities:

  • Ability to create social media post plans for our mail social media platforms - currently Facebook, Instagram, and office tv display.
  • Knowledge of office procedures, with emphasis on organizing workflow and word-processing and administrative procedures.
  • Knowledge of and ability to operate office equipment including computer, copier, fax, calculator and printer.
  • Knowledge of and ability to use Microsoft Applications, especially Word, Excel, design software such as Canva and Adobe Creative Suite, Google Workspace, and enterprise-wide database software.
  • Skill in composition, grammar, spelling, and editing.
  • Ability to communicate effectively with nonnative speakers with varying levels of English capability.
  • Ability to learn and appropriately apply college and department policies and procedures.
  • Ability to type accurately and rapidly.
  • Ability to interact with students, staff and the public from a range of countries and cultures in a pleasant, tactful and courteous manner.
  • Ability to work under pressure and with interruptions while paying attention to detail.
  • Ability to prioritize tasks and take initiative, and work independently.
  • Ability to maintain a high level of confidentiality.
  • Ability to transport boxes of materials or supplies weighing up to 25 pounds.
  • Ability to work safely.
  • Ability to maintain a welcoming atmosphere at the front desk.
  • Ability to assess students' needs and correctly refer them.
  • Ability to provide support to employees working to meet accreditation standards through evaluation and assessment of student outcomes.
