Job Summary

The Payroll System Analyst will report to the Sr Payroll Manager and serve as a lead member of the payroll team. The role will take lead in multiple time- and attendance-related projects and system upgrades to ensure the back-end rules in the system are setup and configured correctly per wage and hour laws, company policies and best practice. This includes researching, building, and updating rules in the system. Each project requires thorough testing, auditing, troubleshooting and ongoing maintenance. The role will also be responsible to assist the payroll team in processing all payrolls in the US, Puerto Rico and Canada.

Essential Duties and Responsibilities



  • Participate and/or take lead in projects to implement configuration changes in our time and attendance system under the Sr Payroll Manager's direction. You will complete research on wage and hour laws and best practices for system setup/rules, work with system consultants on building out configuration changes, complete thorough testing, implement changes in production and continue to monitor, audit, troubleshoot and maintain the system for accuracy.
  • Assist under close direction with maintaining time and attendance system setup, configuration rules, mobile app and more to ensure the employee experience runs smoothly and data for paychecks is generated accurately.
  • Assist Sr Payroll Manager in working closely with department leaders to provide advice on best practice for time and attendance configuration requests.
  • Perform regular audits of employee data in the time and attendance system as it relates to PTO accrual rules/entitlements, holiday schedule/assignments, employee profile assignments, system access setup, premiums/differentials, time code rules, etc. Troubleshoot and fix any issues found.
  • Generate reports based on specific requests for employee time and attendance related data.
  • Ensure all employee time and attendance related guides and trainings are up to date and accurate. Create new material as needed.
  • Work closely with payroll team to process all bi-weekly payrolls for the US, Puerto Rico, and Canada. Responsibilities include gathering, auditing, and importing pay data, reconciling payroll totals, troubleshooting and correcting issues, auditing payroll preview reports for accuracy, processing benefit adjustments, etc.
  • Responsible for maintaining and auditing employees with multiple jobs as it relates to system setup, time and attendance, payroll processing, pilot programs, etc.
  • Assist with payroll tax adjustments as needed, including working with payroll provider on amendments or special filings as necessary.
  • Assist with quarter/year end tasks and activities to ensure all issues are resolved and employee payroll data is accurate (W2s, T4s, all quarter/year end reporting). Works with entire payroll team to ensure all tasks are complete by set deadlines.
  • Troubleshoot issues and answer employee emails/phone calls with questions about their paycheck, PTO accruals, holidays, timesheet, system access, proxy, system configuration, system security, mobile app, etc.
  • Act as a back-up to Sr Payroll Manager and other payroll team members as needed.
  • Provide training and support to Payroll Specialist positions as needed.
  • Take lead in reviewing current payroll and time and attendance processes to give suggestions, make improvements as needed, and build/edit SOPs.
  • Other duties and responsibilities as assigned.



Supervisory Responsibility

This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the department.

Education

Preferred:



  • 4 Year/Bachelor's Degree in Accounting, Business or Finance preferred.



Experience

Minimum Years of Experience:



  • 2 year experience with HRIS Time and Attendance system configuration and Payroll. UKG Pro / UTA / WFM Preferred. Experience with multiple states in the US, Puerto Rico and Canada preferred.
  • 1 year experience working on multiple projects preferred.



Knowledge, Skills, and Abilities



  • Able to handle and manage sensitive and confidential information in the utmost professional manner.
  • Experience with HRIS (time and attendance) back-end system set up.
  • New time and attendance system implementation experience is a plus.
  • Collaborative team player, ability to work in cross-functional teams, and a self-starter
  • Ability to take lead managing multiple projects that run simultaneously and meet deadlines.
  • Strong decision-making, high attention to detail, critical thinking and problem solving skills.
  • Ability to audit system configuration data for accuracy and make corrections as necessary.
  • Experience in processing payroll, time and attendance and PTO system configuration and maintenance.
  • Proficiency across the Microsoft Office Suite, with strong emphasis in Excel
  • Professional attitude with good interpersonal communication skills and ability to work across company departments.



Working Conditions and Physical Requirements



  • Able to sit/stand for a long period of time in an office environment
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, tools, and to handle other computer components
  • Regular and predictable attendance required
