BASIC FUNCTION:

Perform a variety of administrative duties for an assigned department or group of departments. Provides support by creating and revising work schedules, maintaining and reviewing time clock and attendance records, organizing training, and various other administrative functions.

NATURE AND SCOPE:




  • Sensitive and Confidential Issues:Handle sensitive and confidential matters, including personnel management, timekeeping, and performance appraisals for hourly employees.
  • Environmental Recordkeeping:Maintain accurate and up-to-date environmental records.



PRINCIPAL ACCOUNTABILITIES:




  1. Provide administrative support to the Maintenance Superintendent and other Administrative departments.
  2. Build, revise, maintain, and manage the maintenance hourly schedule as needed and in accordance with contractual policies.
  3. Communicating schedule changes and revisions.
  4. Serves as an information source on department matters when answering questions from others regarding policy, procedures, etc., referring only unusual situations to the supervisor.
  5. Approve time cards.
  6. Coordinate technical training.
  7. Perform or assist with special assignments or projects of the department(s).
  8. File and keep records of maintenance shift reports, training, environmental reports, and quality reports.
  9. Order office supplies as needed for plant offices.
  10. Prepare and distribute Open Purchase order reports.
  11. Participate in the apprenticeship program.
  12. Assist and fill in for other department administrative assistants as necessary. To function adequately in these scenarios, you must have a high-level knowledge of plant operations.
  13. Responsible for following all safety policies.
  14. Responsible for following the Cardinal Safety Rules.
  15. Responsible for completing all required annual safety and environmental training (inc. fugitive dust).
  16. Additional duties and projects to be assigned based on business needs.



JOB REQUIREMENTS:




  • Initiative, Judgment, and Decision-Making:Ability to take proactive actions, make sound judgments, and make informed decisions.
  • Communication Skills:Exceptional written, verbal, reading, listening, retention, and interpersonal skills.
  • Technical Proficiency:Proficiency in Microsoft Office applications, including word processing, spreadsheets, graphics, and relational database operations.
  • Education:High school diploma or equivalent.
