GENERAL FUNCTION: Perform routine and non-routine duties related to processing, storage, and retrieval of deposit support records/documents in Depositor Services. Duties include but are not limited to filing, research, quality analysis of documents and CDs and customer account maintenance. May create basic reports for management and assist in the training or new hires and cross training of existing staff. This position requires contact with internal customers to ensure deadlines are met. While operating within the Bank's risk appetite, achieves results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types. ESSENTIAL DUTIESAND RESPONSIBILITIES:
Ensure quality of all fulfilled web requests submitted to ensure accuracy and appropriate documentation is provided for Retail / Legal customers. Use multiple systems and equipment to Pull statements, images, and generate CDs for Legal operations Monitor Rimage units and the upkeep of the machinery. Ensure time completion of CD process including burn, Verification, and delivery to LOB Comply with all Right to financial privacy Act requirements to protect customer information and privacy. Assist with difficult clarification questions from offshore partners. Coordinate and direct the training/cross training of team members to perform necessary fulfillment functions to meet department production and quality standards. Assist management with special projects as assigned providing necessary reports/updates of progression. Assist with developing and maintaining Fulfillment procedure manuals for the department. Provide regular feedback to management, retail and legal contacts concerning trends and observed problems. Audit documents/deposit items to insure accuracy and timely processing including envelope stuffing of Adjustment and Return Correspondence and branch capture bag opening/filing. Complete statement reconstruction requests as needed. Verify that all documents are present and all guidelines have been met. Review documents/system records, processes and provides accurate information/documentation to various departments, expediting issue resolution if needed. Actively participates in ongoing efforts to continually improve the customer experience for both internal and external customers. Provide administrative support to assigned area/unit. Sorts and distributes depositor services incoming mail as well as prepares outgoing mail, overnight packages, and other correspondence according to deadlines. Ensure materials/documents are organized and properly labeled at all times in various storage rooms. Leverage vendor system to send boxes for offsite storage and request others if necessary, accurately managing inventory. Ensure work areas are clean and shelf space is adequately monitored to enable open space for incoming work. Cross train in other department processes and become familiar with the procedures. Additional duties as assigned.
SUPERVISORY RESPONSIBILITIES: None. MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
High school diploma or equivalent. Two years of bank operations or relevant work experience. Handle advanced equipment Experience filing and retrieving documents. Ability to stand for long periods of time and work in close quarters. Familiarity of basic PC functions, specifically Microsoft Windows, Word, Excel, and PowerPoint. Customer focus. Strong verbal and written communication skills. Ability to multi-task. Ability to maintain/organize accurate case files.
WORKING CONDITIONS:
Normal office environment. Extended viewing of computer screens. Ability to lift 25 pounds frequently.
