The Administrative Manager I, Cardiology Basic Research will be responsible for:

  • Managing the secretarial, clerical, and administrative support staff and services for the Cardiology Basic Research program. Recommending, implementing, and maintaining internal office systems and procedures to promote efficient, effective support service operations. Recommending and assisting in the development and implementation of departmental administrative policies and procedures.
  • Managing the daily administrative operations of a research laboratory, including: coordinating communication from division office to lab staff, managing vacation time, library/conference room, and overseeing vital lab administrative resources.
  • Acting as the primary liaison for the division regarding Human Resource policy and function. Overseeing ECF/MSS administration, interviewing, hiring, training, and orienting new staff. Monitoring annual performance appraisals, and developing and tracking merit increase plans, ensuring adherence to guidelines with Department Director and Division Chief. Processing annual merit evaluations. Approving payroll.
  • Managing the processing of faculty and fellow hospital and medical school appointments by collaborating with appropriate departmental and hospital staff to ensure accurate and timely appointments. Acting as the primary liaison to the Medical Staff Registry office, Harvard appointments liaison, and Harvard International Office. Ensuring compliance with all applicable policies. Managing the recruitment process, including advertising.
  • Providing administrative assistance to Chief of Service; managing daily administrative operations of the Chief's office.
  • Acting as Chief's primary resource for special projects as required. Overseeing the administration and maintenance of division recordkeeping systems, including highly sensitive and/or critical administrative and financial data.
  • Supervising subordinate staff in planning, preparing logistics, and coordinating administrative requirements for seminars, conferences, and other special programs or events.
  • Participating in the administration of departmental fellowship and/or residency programs, training grants, and related programs.

To qualify, you must have:

  • Bachelor's degree. Master's preferred.
  • Four year's experience
  • Analytical skills to collect information from diverse sources, apply professional principles in performing various analyses, and summarize the information and data in order to solve problems.
  • Communication skills in order to effectively deal with conflicts views or issues and mediate fair solutions, or well developed written skills.
