Essential Job Functions
The College of Fine and Applied Arts ( CFAA) at Appalachian State University implements a student-first and transdisciplinary approach to learning combined with a steadfast belief in the power of experiential learning. We illustrate this dedication by actively engaging with local communities in deep and meaningful ways.

We seek a professional to serve as the Administrative Support Specialist and be the main point of contact for the Dean's Suite. Reporting to the Associate Deans, primary duties and responsibilities include:

  • Managing spreadsheets
  • Answering the phone and providing front-line customer service for internal and external stakeholders
  • Ordering office supplies as p-card holder and conducting budget reconciliation
  • Submitting work requests and managing travel requests for the Dean's office
  • Overseeing the college's Chrome travel transactions and university purchasing guidelines and reviewing for budget code compliance
  • Copying, billing, and filing as needed
  • Completing records management of faculty files for college
  • Supervising and mentoring student employees

Knowledge, Skills, & Abilities Required for this Position

  • The position requires an individual who can think critically, creatively, objectively, fairly and can do so in a confident and consistent manner
  • Successful candidates will be organized, attentive to detail, thorough, reliable and dependable in their work
  • Excellent written and communication skills are essential
  • Working knowledge and ability to leverage various software to complete business needs (Google Suite, and Microsoft Office, AiM, Yo-Mart, Chrome River, and other systems typically used within the office)

Preferred Qualifications
Knowledge of matters pertaining to education and specifically higher education are beneficial

Required Functional Competencies to Successfully Perform Job Duties.
Knowledge-Program:

  • Understanding of services, policies and procedures related to administration typical of the Dean's office.
  • Ability to demonstrate and apply this knowledge in the performance of office support tasks.
  • Ability to explain and interpret information to clients/customers and staff.
  • Ability to facilitate the flow of work, facilitate or direct the office support activities and coordinate work with staff.
  • Ability to maintain internal and external contacts for work coordination.


Information/Records Administration:

  • Ability to compile, assimilate and organize both printed and electronic information.
  • Ability to apply knowledge of data collection, storage, organization, manipulation and/or analysis of data.
  • P-card holder and reconciliation, Dean's Office supply orders, and Chrome River travel.

Communication-Verbal:

  • This position serves as customer service lead for the College of Fine and Applied Arts Dean's Office.
  • This position greets and serves all visitors as well as internal and external customers. Ability to speak clearly and concisely, actively listen, and articulate thoughts and ideas clearly and effectively in oral form to persons inside and outside of the organization.

Pay will be commensurate with applicant competencies, budget, equity and market considerations.
