Subcontracts Administrator

General Job Description:

Under the direction of the Subcontracts Supervisor or Manager, this position is responsible for standard duties in support of the purchasing function of ACCO. This role is responsible for various tasks including, but not limited to the coordination of details with suppliers, document administration, organizing supplier lists and files, and the preparation of subcontracts.

Essential Duties & Responsibilities:



  • Data entry: Typing and processing of Subcontract documentation.
  • Responsible for Subcontractor compliance set-up.
  • Reviews Subcontractor insurance, understands trade specific insurance requirements, revise and resubmit insurance, and understands all insurance needs.
  • Responsible for Subcontractor bond setup.
  • Maintain subcontract tracking status log(s) daily and distribute to relevant inter-departmental personnel (i.e.,AP, Collections, etc.)
  • Follow-up with suppliers on the status of outstanding contracts daily.
  • Review and send out subcontracts exhibit, regardless of status or issuance type.
  • Processing a minimum of 12 subcontracts a day.
  • Special projects as required and other duties as assigned by management.
  • Mail/distribute POs weekly via USPS.


Position Requirements (Skills, Work Experience, Education, etc.):



  • High School diploma or equivalent college course in related field (Business, Economics, Management preferred).
  • Proficiency in a minimum of two ACCO emphasis points within the first 12 weeks.
  • Proficient-plus level user of MS Excel and MS Word.
  • Strong verbal communication and listening skills, both verbal and written.
  • Able to work effectively and professionally in a team environment.
  • Strong business writing skills, including the use of proper grammar and terminology.
  • Able to demonstrate high customer service skills.
  • Able to organize large amounts of information while maintaining attention to detail.
  • Must be goal oriented and meet deadlines.
  • Purchasing experience is preferred but not required.
  • Maintain an average of 75 WPM
  • Maintain an average of 99% in all data entry

  • While performing the duties of this job, the employee is regularly required to sit, use hands to operate computer keyboard and telephone, talk and hear.
  • The employee frequently is required to reach with hands and arms and at times reach above shoulder height to access storage cabinets. The employee is occasionally required to stand, walk, climb, or balance and stoop, kneel, or crouch (for purposes of filing).
  • Specific vision abilities required by this job include close vision and distance vision.
  • The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 20 pounds.


Hours:

This is a non-exempt position from Monday through Friday. Work hours begin between 6:00 am and 7:00 am and end between 4:00 pm and 5:00 pm, with one-hour break for lunch and two rest breaks. Eight hours per day is required and other occasional overtime may be necessary per business needs

Travel:

0 - 5% of the time to and from the primary office to regional branch offices.

Competitive Wages:
$22.60 to $29.81 per hour. Applicants please note that actual compensation is determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location, among others. The offered wage or salary is only one aspect of an employee's total compensation.
