Position: Client Operations Associate | Division: BWSI Work Days: Monday - Friday | Hours of Operation: 8:00am - 5:00pm

Position Overview: The Client Operations Associate plays a crucial role in delivering exceptional customer service to both new and existing clients within the wealth management division. This role is responsible for managing the day-to-day operations of client accounts, ensuring accuracy, efficiency, and compliance in all processes. The Client Operations Associate will work closely with advisors, clients, and internal teams to prepare for and follow up on client meetings, process transactions, and maintain accurate client documentation. This role serves as the liaison between clients and processing teams, striving to enhance client satisfaction and retention through proactive communication and timely resolution of issues. A key aspect of this role is to optimize operational workflows and contribute to the overall success. Essential Functions:
- Manage and maintain individual client accounts, coordinating with portfolio management, custodial operations, legal/compliance, and other internal teams, as well as external parties.
- Liaise with custodians to process client distributions, contributions, and other transactions promptly and accurately, ensuring compliance with internal and external regulations.
- Maintain and organize client information, spearheading the annual Know Your Customer (KYC) process and ensuring that all client data is up-to-date and compliant.
- Contribute to the team's efficiency by managing daily transactions, including automatic contributions and distributions, and preparing and staging trades for execution.
- Review advisor activity in Redtail CRM, create follow-up tasks, manage annual client review tasks, and ensure all activities are documented and completed within established timelines.
- Oversee and validate sales opportunities, ensuring accurate tracking and closure in the sales pipeline.
- Review and execute iRebal strategies on all firm accounts weekly and quarterly, ensuring alignment with client objectives.
- Review and process client buy/sell requests, communicating with advisors regarding any potential long/short-term gains, and resolving any Non-In Good Order (NIGO) items from custodians.
- Maintain the daily trade blotter, sending it to the compliance manager for approval, and manage all correspondence from custodians to ensure regulatory adherence.
- Enhance the overall operational efficiency of the team by proactively identifying areas for improvement and implementing process enhancements.
- Individuals hired into this role who do not possess a Series 65 license are required to work onsite.
- Must be able to work onsite, as working remotely is not an option for this
Experience & Education:
- 2-5+ years of experience in the RIA industry, with a strong understanding of the sales and marketing process.
- Demonstrated ability to analyze and understand investment strategies, with the capability to present them accurately to clients and internal stakeholders.
- A BA/BS/BBA degree is required, with a concentration in Finance, Business Administration, or Accounting. A proven record of academic achievement is essential.
- S65 or S66 required; or the ability to obtain within 90 days
Skills & Qualifications:
- High level of accuracy in managing client accounts and processing transactions.
- Excellent writing, editing, and verbal communication skills, with comfort engaging with all levels of firm management.
- Ability to think critically and formulate sound conclusions independently.
- Proven ability to manage multiple tasks simultaneously in a fast-paced environment.
- Strong client service orientation, with the ability to anticipate and meet client needs effectively.
- Ability to work collaboratively with internal teams, leveraging resources to achieve common goals.
- Strong problem-solving skills, with the ability to resolve inquiries and issues efficiently.
- Understanding of regulatory requirements and the ability to ensure all processes are compliant.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Strong work ethic, with a commitment to maintaining the highest standards of professionalism in all interactions.
